Our client (Toyota Financial Services) asked us to store and manage 200,000 finance agreements, locate any one of them from a range of search criteria, and provide fast, daily delivery to Epsom.
We collected 600 archive boxes from the previous storage provider and built a new, clean database from scratch, including barcoding and cataloguing every agreement. We then captured key ‘searchable’ data from each agreement and assigned that information to the database. As a result, our client can now request, and we can locate, any agreement simply by quoting the customer name, agreement number or vehicle registration.
Our client also wanted to significantly reduce the delivery times that would result from the 60-mile trip between our Luton record centre and their base in Epsom. We eliminated delivery times completely by coming up with scan-on-demand. When our client requests a record, we locate the agreement, scan and converts it to PDF. It is then emailed direct to the end user.
When our client needs a document, they no longer have to wait for delivery. Our scan-on-demand solution means that they receive it within less than five minutes and the original agreement never leaves the safety of the record centre. So we provide secure document storage and delivery for the motor finance sector, but without the mileage.
